Service Writer

Job Summary: At GFL, our Service Writers are essential to keeping our fleet safe, reliable, and ready for the road. In this key role, you will provide critical service and administrative support to our daily maintenance shop operations, working collaboratively with mechanics, supervisors, and dispatchers to ensure seamless equipment repair and maintenance.

Requirements:

  • Education & Licensing: High School Diploma (GED) required (post-secondary courses or diploma considered an asset); valid driver's license or reliable transportation to and from work.
  • Technical & Software Skills: Experience with Microsoft Office Programs (Excel, Word, Outlook); experience with TMT and PeopleNet software is viewed with priority.
  • Organizational & Problem-Solving Skills: Strong organizational skills with a proven ability to multi-task and prioritize tasks effectively in a fast-paced shop environment.
  • Team Collaboration: Demonstrated ability to perform tasks requiring cooperation, instruction, and effective cross-functional teamwork.

Responsibilities:

  • Repair Order Management: Create, assign, and close Repair Orders (ROs) for preventative maintenance, running repairs, third-party work, equipment damage, and breakdowns.
  • DVIR Process Oversight: Accurately manage the Driver Vehicle Inspection Report (DVIR) process by recording major and minor defects, communicating required repairs to maintenance staff, and confirming completed repairs with drivers.
  • Driver & Breakdown Support: Manage driver repair and breakdown requests by monitoring phone lines, reviewing requests with appropriate personnel, scheduling repairs, and maintaining relevant documentation.
  • Third-Party Coordination: Coordinate external equipment repairs and service with third-party mechanic shops and dealerships.
  • Service Scheduling & Support: Accurately maintain the maintenance department service schedule while actively supporting mechanics in all aspects of service delivery.
  • Shop Logistics & Assistance: Assist with shop operations by picking up parts, shuttling mechanics, and performing administrative tasks as needed.
  • Team Collaboration: Work closely with lead hands, shop supervisors, dispatch, and management to successfully complete daily maintenance tasks.
  • Additional Duties: Perform other operational and administrative duties as assigned by leadership.
