The Role
Responsible for overseeing the collections efforts for Residential based accounts. Managing the Residential collections team and monitoring their efforts to ensure objectives and goals are accomplished. Work professionally and effectively with internal and external customers. Providing guidance to the team and supporting branches. Coordinate activities and interface with collection agencies. Monitor and trend the company’s bad debt exposure.
Key Responsibilities
- Develop a partnership approach with branch locations. Aid in the review and resolution of problem accounts.
- Maintain tracking system and work closely with branches on items requiring branch input or data, including service issues, sales adjustments, bad debt write-offs etc.
- Manage collections department by ensuring strong customer service focus and responsiveness towards customers
- Provide team training, answer questions, and provide additional support as needed.
- Coordinate activities with Collections Admins pertaining to third party placement.
- Inform and review past due accounts with Area Controllers and our General Managers monthly.
- Conduct monthly meetings with collectors and provide direction regarding organizational updates, collection goals and accounts receivable status.
- Monitor and produce reports that identify dollars to be resolved through departmental collection activities and collection agencies.
- Monitor A/R aging and identify trends.
- Work with Cash receipts team on items requiring research on cash application or adjustments.
- Ensure all functions are performed in compliance with a strong internal control environment.
- Ensure performance of collections policies and programs conform in all respects with applicable federal, state and local laws, regulations, ordinances and other orders policies, procedures and directives from supervisors.
- Conduct screening, interviewing and selection of new employees. Address employee performance issues and submit recommendations to upper management for action required.
- Additional projects and responsibilities as required or requested by management. Assist with the interim and year-end external audits as needed. Annually conduct performance reviews for direct reports and ensure performance reviews are completed for all team members by company guidelines.
- Lead other special projects as deemed necessary
Machines, Tools and Equipment:
- Operate standard office equipment (i.e., personal computer, copy machine, etc.)
- Solid working knowledge of Gmail, Google Sheets, Google Docs, Google Drive, Gemini, MyWorkday. Use of Google Sheets is critical to performance of job function.
Education, Training, Experience and Licensing/Certification Requirements:
- Associates and/or Bachelor’s degree preferred
- Five to Seven years of Collections and Credit, Accounting or Business experience
- Equivalent combination of education and experience
- Seven or more years’ supervisory experience including larger teams of 7 or more individuals
Knowledge, Skills and Abilities:
- Highly organized individuals with the ability to research and resolve issues.
- Ability to meet deadlines in a fast paced working environment.
- Ability to juggle conflicting priorities and manage workload among team members.
- Demonstrate ability to motivate and lead a diverse work group.
- Strong strategic thinking skills, including the ability to integrate information from many sources and develop a corporate level perspective and recommendation.
- Strong project-management skills to lead cross-functional teams and influence others to achieve project goals.
- Ability to understand workflow processes, analyze relevant data to identify process improvements and provide recommendations to management.
- Strong accounting system design skills to identify areas where re-engineering and automation are critical and implement related initiatives.
- Excellent verbal and written communications skills with all levels in the organization.
- Strong leadership skills, including the ability to provide direction to employees, motivate team members and manage work processes in a fast-paced and changing environment. Ability to work under pressure to meet strict deadlines with minimal supervision
Physical/Mental Demands:
- Regularly required to sit and use hands and fingers.
- Frequently required to talk, hear, stand and walk.
- Visual requirements include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Working Conditions:
- Work in indoor office environment 100% of the time.
- Noise level is usually moderate.
